Organization role overview

Roles define what specific users can see and do on our platform. Each role sets the level of access for a user, such as managing users, content, and organization settings. Depending on the role assigned, a user can create new learning content, view existing content, or manage access for content that has already been created. Each user can hold only one role within organization.

Available roles:

  • Member: Members can access learning materials, complete assignments, take quizzes and exams, rate their skills, and track their progress towards learning goals. Members have limited permissions and can only access the learning area, their own user profile, and their own settings. The role is therefore suitable for all regular learners and employees of an organization. Every other role on the platform also includes member permissions.

  • Author: Authors are responsible for creating learning content, such as learning paths, events, journeys, and managing the skill taxonomy and skill profiles. Their primary goal is to create engaging and effective learning experiences. They also check feedback to ensure the content remains relevant and of the highest quality. They cannot define who can access the content they have created or updated.

  • Access manager: Access managers ensure that learning content is accessible to all users or specific groups for which it was designed. They support authors by ensuring that the organization has all relevant content available.

  • Curation admin: This role combines the responsibilities of both authors and access managers. It is well-suited for smaller organizations where one person manages all aspects of content creation and distribution.

  • Owner: Owners have overall control of the platform. They manage user accounts, content, configure organization settings, and monitor the effectiveness of learning programs by analyzing learning and skill insights. This is the only role that currently allows users to access users' personal and learning data, assign trainings, and manage participant lists for events and journeys. Additionally, owners can manage certificate templates, configure certificate settings on content items, issue and revoke certificates, manage projects, and configure integrations. If desired, owners can view other users’ detailed profile information (learning activity, skills, skill profiles, certificates, and project experiences). Your edyoucated account manager can restrict this detailed profile visibility for owners on request.

Note: Detailed user profile visibility can be enabled or disabled for owners and team managers separately by your edyoucated account manager. When disabled, users see only a limited profile view (biography and about).

Assign and view roles

  1. At the bottom of the left main navigation, click on Administration.

  2. Then click Users to open the users list.

  3. In the Users list, you will see an overview of all users in your organization and the role assigned to each.

  4. The role assigned to a user can be changed by clicking on the role. A context menu opens with all available roles.

Team manager–specific permissions

Team managers are assigned per team. The permissions below apply only to users in the teams they manage. They are on top of the permissions granted to the user’s main role in the organization.

In short, team managers have people‑management permissions for their teams: they can see their team’s learning and certificate status, approve or reject event participation, and formally rate skills, but they do not gain global admin or content‑creation rights.

Team management section

  • ✅ See the team management section in the left navigation (only if they are manager of at least one team).

  • ✅ Access up to four views:

    • Team members: list of all members in their teams, including last learning activity.

    • Open requests: list of pending approval requests from their team members.

    • Learning activities (only if enabled in your organization): dashboard providing key metrics about the learning activities of team members, team-specific cost insights as well as access to team-specific raw data for learning paths, events, journeys, and mandatory trainings.

    • Skill report (only if enabled in your organization): dashboard providing insights into the skills and certificates of their team members.

User profile access

Note: Detailed user profile access for managers can be enabled or disabled by your edyoucated account manager. When disabled, managers see only a limited profile view (biography and about) and cannot access:

  • Learning activity and progress

  • Skills and skill profiles

  • Certificates

  • Project experiences

Manager ratings and dashboards remain governed by their own settings and permissions.

  • ✅ View the learning progress of their team members’ profiles.

  • ✅ View the skills on their team members’ profiles .

  • ✅ View the skill profiles on their team members’ profiles .

  • ✅ View the certificates on their team members’ profiles (read‑only; uploading for others is Owner‑only).

  • ✅ View the project experience on their team members’ profiles

Approval workflows for events

  • ✅ Receive and see event sign‑up approval requests from their team members in Open requests.

  • ✅ Approve or decline event attendance requests for their team members.

  • ✅ Their approval drives whether a learner is added to the event directly or moved onto the wait list (depending on event capacity).

Skill profile manager ratings

Note: Manager ratings can be enabled/disabled by your edyoucated account manager.

  • ✅ Access the manager rating view for skill profiles of their team members via Team management → User profile of team members → Skill profiles.

  • ✅ Provide manager ratings (1–5 scale) for each chapter/skill in a skill profile, alongside the employee’s self‑rating.

  • ✅ See self‑rating vs. manager‑rating and corresponding match scores to discuss development needs.

Event trainer-specific permissions
