Find and participate in events

Find events, understand their statuses, and manage sign-ups, approval requests, wait lists, and participation.

This article provides a comprehensive guide on how to find events and manage event attendance from the learner's perspective. It covers how to view, search, filter, sign up, request approval, and cancel event participation. Additionally, it explains how events are recommended based on skill profiles.

Accessing the events list

To get an overview of all events available in your organization, click on the Events entry in the left navigation menu. It displays all upcoming and past events.

Understanding event card statuses

Each event card in the learner events overview shows at most one status badge. If you have a personal event status, it takes priority over the general event or capacity status—even when the event is fully booked or canceled. This priority rule applies specifically to event cards in this overview.

Without a personal event status, the first matching condition below determines the badge:

  1. Canceled (red): The event has been canceled.

  2. Past event (gray): The event has ended.

  3. Registration closed (gray): The registration deadline has passed.

  4. The participant limit has been reached or exceeded: Wait list open (blue) if approval is not required, or Fully booked (red) if approval is required.

  5. Almost full (yellow): The participant limit is greater than five, and the number of remaining places is greater than zero but less than 20% of the limit rounded up to the next whole number.

If none of these conditions applies, no general event or capacity badge appears.

Your personal event status describes your sign-up, approval, attendance, or access:

  • Signed up (positive emphasis): You are signed up for an upcoming event.

  • Request canceled (neutral emphasis): Your sign-up request has been withdrawn.

  • Pending request (informational emphasis): Your sign-up request is awaiting a decision and the event has not yet started.

  • Missed request (warning emphasis): Your sign-up request is still awaiting a decision after the event's start time has passed.

  • Request rejected (critical emphasis): Your sign-up request has been rejected.

  • On waitlist (informational emphasis): You are on the event's wait list.

  • Pending confirmation (informational emphasis): The event's start time has passed, and you are signed up but neither your attendance nor your non-attendance has been confirmed.

  • Attended (positive emphasis): Your attendance has been confirmed.

  • Did not attend (critical emphasis): Your non-attendance has been confirmed.

  • Event canceled (warning emphasis): The event has been canceled, and you were signed up or on the wait list.

  • Can not access (critical emphasis): You have lost access to the event.

  • Removed from event (neutral emphasis): You have been removed from the event.

Searching and filtering events

To search and filter events, you can:

  • Enter keywords in the search bar to find specific events.

  • Use the quick filters on the left side to refine the event list:

    • Filter events you have signed up for

    • Filter events you have not signed up for

    • Filter events for which you have sent a participation request

    • Filter events based on their status (upcoming or past)

Viewing event details

To view event details, click on an Event card. This will redirect you to the event detail page, which may include the following information:

  • Title and description of the event

  • Location (online, offline, or hybrid)

  • Link for online events (e.g., Microsoft Teams)

  • Documents provided by the trainer (visible after you sign up; if manager approval is required, they appear after your sign-up is approved)

  • Skills overview showing the skills that will be covered including a recommended prior skill level. Only visible if at least one skill is mapped to the event.

  • Trainer information, including the names of all assigned trainers

  • Participation restrictions (e.g., maximum number of participants)

  • Event language

  • Event cost (if applicable)

Note: Documents become visible only after you are signed up for the event. If manager approval is required, documents appear after your manager approves the sign-up.

Signing up for an event

To sign up for an event:

  1. Open the event detail page.

  2. Click the Sign up button. Note that you cannot sign up for events that lie in the past.

  3. If manager approval is needed: Click Request approval. A dialog box will appear.

    • Select a team from the dropdown menu.

      • Only teams with at least one manager appear and can be selected.

      • If none of your teams has a manager, the request cannot be submitted. Ask your admin to add a team manager or request that an admin signs you up for the event.

    • Click Select to send the approval request to the chosen team manager(s).

How the wait list works with manager approval

If an event requires manager approval and a wait list is enabled, you will be placed on the wait list only after your manager approves your request. You are not added to the wait list at the moment you click Request approval.

If seats were still available when you requested approval but become occupied before your manager approves, you will be placed on the wait list once the approval is granted.

The sooner your manager approves, the lower the chance that available seats are taken by others.

Note: Approval does not reserve a seat. If the event fills up while your approval is pending, you will be added to the wait list after approval.

Note: For events that require manager approval, you can only request approval for teams with at least one manager. If no managed team is available, approval cannot be requested.

Note: After signing up for an event, you will receive a confirmation email with a calendar invite. If manager approval is required, the email will be sent only after approval. Notifications will also appear in the platform's notification area. Moreover, the event will also appear in the Your agenda section on the home page.

Cancelling event participation

To cancel your participation in an event on the platform:

  1. Navigate to the event you wish to cancel.

  2. On the right side of the event detail page, click the Cancel sign-up button.

Note: If you have sent a participation request that has not yet been approved, click Cancel request to withdraw your request.

Declining the calendar invitation

If you are signed up for an event created on the platform, you can also cancel by explicitly declining its calendar invitation and sending the response to edyoucated. Your response must reach edyoucated and be matched to your existing event participation. Simply removing the event from your local calendar is not a cancellation.

The outcome depends on when edyoucated processes your response, not when you send it:

What happens to your participation

Before the event starts and on or before the participation cancellation deadline. If no deadline is set, any time before the event starts.

Your sign-up is withdrawn, just as with Cancel sign-up.

After the participation cancellation deadline, but before the event starts.

If you are still signed up, you are marked as not attended instead of being withdrawn.

At or after the event start.

Your participation and attendance status remain unchanged. None of the cancellation notifications described here are triggered.

When your calendar decline results in a regular withdrawal, you receive confirmation by email and in the notification bell. For a late calendar decline, both channels tell you that the deadline has passed; the email also explains that you have been marked as not attended. Click View event details in either email to open the event details.

The event creator and assigned hosts or trainers receive an email and a bell notification when a signed-up participant withdraws on the platform or through a timely calendar decline. The messages distinguish between these two ways of cancelling. For late calendar declines, they are informed that the deadline has passed and the participant has been marked as not attended.

These withdrawal notifications apply to existing sign-ups, not withdrawals from the wait list or pending participation requests.

Understanding the wait list feature

If an event has reached its maximum number of participants, you can join the wait list when available. The order in which users are added determines who is promoted when a spot opens.

Auto‑promotion from the wait list

  • When a spot becomes available (e.g., a participant cancels or is removed), the wait‑listed user who was added first is automatically promoted to the participants list (FIFO order).

  • You will receive a bell notification and a calendar invite/email when you are promoted, provided the event is not in the past.

  • If manager approval was required, promotion happens automatically after approval when a seat opens.

Event recommendations

The platform recommends events that match the skills in your assigned skill profiles. In recommendation panels (for example on a skill profile page), up to two upcoming events are shown first, sorted by start date (earliest first). If more matching events exist, use the See more link or open the Events list to explore additional options.

  1. Events may appear in the Recommendations section on the home page.

  2. When viewing a skill profile, recommended events will be listed in the Recommended learning section on the right side.

Tip: When filter chips are available (Learning path / Event), you can switch to show only events or only learning paths; selecting both (or none) shows both types with events first.

Expressing interest in event proposals

Some organizations use event proposals to gauge interest before scheduling a session. When a proposal is Published, you can let organizers know you are interested.

  1. Open Events and select an event proposal to view its details. If multiple trainers are assigned, their names appear on the proposal detail page.

  2. Optionally, add a short comment for the organizers.

  3. Click Show interest.

Your personal proposal status shows Interested (green) when you have expressed interest, Interest withdrawn (gray) when your interest has been withdrawn, or Removed from proposal (red) when you have been removed from the proposal.

You may see a price per participant if your organization displays it; this is informational and not a registration.

Important: Showing interest does not reserve a seat and does not sign you up. If an event is created later, you will still need to sign up for that event.

FAQs

What happens if the event is full? Is there a wait list?

Yes, if the event has a maximum limit for the number of participants and is already full, you can join the wait list.

Wait list open indicates general wait list availability; On waitlist means you are personally on the wait list. For events requiring manager approval, Fully booked does not prevent you from being added to an available wait list after approval.


What happens if there is a minimum number of participants and not enough people sign up?

There is no automatic cancellation, but the event creator and all trainers assigned to the event will receive an email and an in-app notification before the event starts and will decide whether to cancel the event. If the event is canceled, you will be notified by email and receive a notification on the platform that the event has been canceled.


What happens if the trainer cancels an event I've signed up for?

You will be notified via email and receive a notification on the platform that the event was canceled.


Why can't I select my team when requesting approval?

Only teams with at least one manager can approve event attendance. If your team has no manager, it won’t be listed in the approval dialog and the request cannot be submitted. Ask your admin to add a team manager or request that an admin signs you up for the event.
