Creating and managing learning paths

Create and edit learning paths, set access, publish languages, map skills, manage learners, and configure certificates

This guide shows you how to create learning paths, edit their details and cover image, control access and recommendations, and use filters to manage your catalog effectively.

Who can use this feature?

  • Creating and editing learning paths: users with role Owner, Curation Admin and Author

  • Managing access and recommendations: users with role Owner, Curation Admin and Access Manager

  • Available on All Plans

  • Available on Desktop

Accessing learning paths

To access the the learning paths section, click on the Learning management entry in the main navigation on the left. This will open an overview displaying all learning paths existing in your organization.

Understanding the learning paths overview

The overview lists each learning path with the following attributes:

  • Title: The name of the learning path

  • Status: Either Published or Draft

  • Provider: The organization or external content provider

  • Type: The learning path type (e.g., Standard, Adaptive, SCORM, Linked)

  • Language: Available language versions

  • Categories: Number of assigned categories (hover to see details)

  • Access for: Number of users that can access it

  • Duration: Length in hours and minutes

  • Created by: Creator or providing organization

  • Updated on: Date of the last change

A search field is available above the table to search for learning paths by title.

Filtering learning paths

  • Click Filter list in the upper-right corner.

  • A modal window opens with various filter attributes:

    • Status

    • Type

    • Learning path length

    • Access

    • Provider

    • Categories (expand with Show more)

    • Language

    • Curated by (your organization or partners)

    • Created by

    • Last updated by

  • Use Apply filters to activate filters, or Reset filters to clear all.

If multiple curation languages are active, a language dropdown appears at the top right. Selecting a different language (e.g., English → German) will update the titles and table contents accordingly.

Creating a learning path

You can create four types of learning paths depending on your use case.

Note: The language of standard and SCORM-based learning paths as well as external courses cannot be changed after creation. Choose carefully so the path appears in the correct catalogs and filters.

Creating a standard learning path

  1. Open the Learning paths overview.

  2. Click the + Learning path button.

  3. Select Standard as learning path type.

  4. Enter a Title (required).

  5. Choose the Language.

  6. Click Create learning path.

Creating an adaptive learning path

  1. Open the Learning paths overview.

  2. Click the + Learning path button.

  3. Select Adaptive as learning path type.

  4. Enter a Title (required).

  5. Click Create learning path.

Tip: No language selection is needed for adaptive learning paths as the content defines available languages automatically.

Linking an external course

  1. Open the Learning paths overview.

  2. Click the + Learning path button.

  3. Select Linked course as learning path type.

  4. Fill in Title, Language, Provider, the course URL, and expected Duration (in minutes).

  5. Click Link as learning path.

Importing a SCORM file

  1. Select SCORM file.

  2. Fill in Title, Language, Provider, upload your SCORM package, and set a Duration (in minutes).

  3. Optionally enable Allow completion... if you want to let learners complete the material even when the SCORM package itself is not completed.

  4. Click Import as learning path.

Editing details and cover image

Updating title, provider, description and categories

  1. Open the General tab and click Edit in the Details section.

  2. Update the Title, pick a Provider (e.g., your organization or a partner catalog), and add a Description. If your provider is missing, choose New provider and enter the name.

  3. Use Search categories to assign one or more categories for easier discovery. You can create a new category if needed. Click Create category to add a new one. If multiple curation languages are enabled in your organization, enter localized names; only the main curation language is required.

  4. Click Save.

Tip: Providers and categories improve filtering for admins and learners. Use consistent naming to keep your catalog tidy.

Note: The Provider list is automatically managed to keep things simple and avoid the need for a separate management area.

  • A provider disappears automatically once it’s no longer used in any learning path.

  • To change a provider, simply create a corrected version and attach it to the relevant learning paths.

  • Once all instances of the old version are replaced, it will no longer appear as an option.

Add or edit a cover image

Each learning path can have a cover image to improve discovery and recognition on the catalog and detail pages.

  1. Click Add cover image on the learning path details page (General tab).

  2. The dialog provides two options: Upload a file or Generate image (AI).

Upload a file

  1. Click Upload a file and pick an image from your computer.

  2. Maximum file size: 20 MB.

  3. Adjust the crop (aspect ratio is fixed for optimal display) and click Use image to apply.

  4. To replace or remove later, reopen the dialog and click Remove image or upload a new file, then Use image.

Generate an image (AI)

  1. Click Generate image to open the AI generator.

  2. Choose an Image style. Available styles are: Photography, 3D Rendering, Sketch, Pixel, Retro, Cyberpunk, Watercolor, Abstract, Minimalist, Comic, Neon, Pastel.

  3. Optional: Enter a Prompt to describe what should be shown.

  4. Optional: Enable Title and/or Description to use the learning path's attributes as input.

  5. Click Generate. Generation can take up to ~1 minute.

  6. After generation, adjust the crop (the correct aspect ratio is applied automatically) and click Use image to apply.

  7. You can regenerate or upload a different image at any time. To remove the image entirely, use Remove image, then Use image to confirm.

Note: For best results, use clear prompts and a style that fits your brand. You can always re-open the dialog to replace, regenerate, or remove the image.

Adding or editing content

To add or edit content for any learning path, open the path, go to the General tab, find the Content section, and click Edit. What happens next depends on the path type.

Standard learning path

Clicking Edit opens the standard content builder. Use it to add sections, materials, quizzes, and final exams, arrange blocks with drag and drop, and save your changes.

Adaptive learning path

Clicking Edit opens the adaptive content editor. Select and order skill atoms from your organization’s taxonomy, manage curation languages, review statistics, and save your changes.

Linked course

When you create a Linked course, the content is added automatically: a reusable material is created with the URL and duration you entered. Clicking Edit in the Content section opens the material detail page, where you can update the title, URL, duration, and other attributes.

Note: The linked‑course material can be reused in multiple learning paths. Editing it updates the content everywhere it is used. If you need a path‑specific variant, create a new material and replace the block in that path.

SCORM file

When you import a SCORM file as a learning path, a reusable SCORM material is created. Clicking Edit in the Content section opens the material detail page for that SCORM package (for example, to change the title or duration).

Note: The SCORM material can be used in multiple learning paths. Editing it updates all paths that include it. To avoid unintended changes, create a new SCORM material and replace it where needed.

Setting access and recommendations

Access controls who can view and open a learning path; recommendations highlight a path to targeted users without changing access.

Granting access

  1. Open the Access tab and click Edit in the Learning path access section.

  2. To make it available to everyone, enable Provide access for your entire organization. To target specific audiences, add teams and/or users.

  3. Click Save.

Recommending a learning path

  1. In the General tab, click Edit in the Recommend learning path section.

  2. Enable Recommend this learning path for all users or select specific teams and/or users.

  3. Click Save.

Note: Recommended learning paths will be visible for your learners in the Recommended by your organization section (but only for learners who can access the path).

Optionally, copy the Recommendation link to share directly. Users still need access to open the learning path.

Configuring certificates

Enable certificates for a learning path, configure the template, preview it, and optionally generate certificates automatically upon completion.

  1. Open SettingsCertificates settingsEdit.

  2. Enable Enable certificates.

  3. Click Configure template, pick an appropriate template (e.g., English or German), review the preview on the right, then Save.

  4. Optional: Enable Generate certificates automatically upon completion and Save.

Setting learning requirements

Use learning requirements to restrict material completion until the set duration has elapsed. This helps ensure learners spend sufficient time on each material.

  1. Open SettingsLearning requirements.

  2. Enable Restrict material completion based on duration.

  3. Click Save.

Additional settings

Use badges to communicate status in the catalog. Coming soon marks a path that is not yet available. New highlights a path as new until the selected end date.

  1. Open SettingsAdditional settings.

  2. Optional: Mark as coming soon.

  3. Optional: Mark as new and set the end date.

  4. Click Save.

Configuring assessments for adaptive learning paths

Adaptive learning paths include an Assessments section in the Settings tab. Use it to control knowledge reviews on atoms and the final exam at the end of the path.

  1. Open the learning path and go to SettingsAssessmentsEdit.

  2. Enable Enable knowledge review to master skill atoms to show knowledge review quiz questions for atoms in the adaptive path. Questions must be configured on the atom itself.

  3. Enable Require final exam to complete the learning path to add a final exam at the end of the path.

  4. When the final exam is enabled, set the Required score (in percent) (e.g., 80) to define the pass threshold.

  5. Optional: Enable Attempt to ask questions for every atom in the final exam so the exam tries to include at least one question per skill atom (if available).

  6. Click Save.

Tip: These assessment settings are visible only for adaptive learning paths. For standard learning paths, quizzes and the final exam are configured directly in the standard content builder.

Note: If no skill atoms have attached quiz questions, a message appears (for example: No skill atoms have an attached quiz question…) and a final exam cannot be generated. Add questions to atoms first.

Tracking learners' progress

Use the Learners tab to track participation. The table shows Name, Email, profile image, Progress, Last active on, and Completed on. You can sort by Name, Progress, Last active on, and Completed on, and search by learner name.

Mapping skills to a learning path

The Mapped skills tab is visible for non-adaptive learning paths. Adaptive paths are already skill-driven.

  1. Open Mapped skillsEdit.

  2. In the left Skill taxonomy, use Search in taxonomy or Filter list to focus on your organization’s skills.

  3. Select a skill’s checkbox to add it; expand a skill and select specific chapters if required.

  4. Review Your mapped skills in the middle column and Statistics on the right (skills/chapters count).

  5. Optional: Define recommended prior knowledge level by hovering over the blue bars and selecting the level.

  6. Click Map skills to save.

Publishing a learning path

Publish languages for a learning path so learners can access content in those languages.

  1. Click Publish in the top-right. Note: If the learning is published in at least one language, the name of the button changes to Manage languages.

  2. In the modal, select the language(s) you want to publish. Only languages with content (at least one material) can be published.

  3. Click Publish learning path.

  4. Visibility depends on the Access tab settings.

Important: Users can only see a learning path if it is published and the user was granted access.

Note: If a selected language has no content you will see an error and cannot publish.

Unpublishing languages

Unpublish a language to remove visibility without deleting the learning path.

  1. Click Manage languages in the editor header.

  2. Deselect the language(s) to unpublish.

  3. Click on Manage languages.

Improving findability with search keywords

Add search keywords (synonyms and related terms) so learners can find the learning path more easily.

  1. In the right sidebar, open Search keywords.

  2. Click Edit search keywords, enter a term, then Add.

  3. Click Save search keywords.

Duplicating a learning path

Use the duplicate icon either on the Learning paths list or on the learning path detail page to create a copy of the path’s metadata and content. The copy always starts in Draft status. Access settings and recommendation settings are not copied and must be configured for the copy. The name of the duplicated path begins with Copy of (or Copy von depending on language).

Deleting a learning path

Use the Delete icon to permanently remove a learning path.

Note: If the learning path is still published, unpublish it (Manage languages) before deleting.

Troubleshooting and tips

  • Users cannot see the path: Ensure the path is Published and that appropriate Access is granted on the Access tab.

  • Provider not listed: In Details, open the Provider dropdown and add a new provider if your organization uses external catalogs.

  • Categories missing: Use Create category to add a category and provide localized names if prompted.
