Create and manage mandatory trainings

Learn how to create, assign, and track mandatory trainings effectively.

Mandatory trainings are typically used for compliance and/or safety trainings. They are displayed prominently on the dashboard for employees. A due date can be set and emails are sent to employees as a reminder based on the due date.

Accessing mandatory trainings

To access the mandatory trainings section, click on the Mandatory trainings entry in the main navigation on the left. This will open an overview displaying all existing mandatory trainings.

Understanding the mandatory trainings overview

The overview lists each mandatory training with the following attributes:

  • Title: The name of the mandatory training.

  • Learning Path: The learning path associated with the training.

  • Assigned to: Indicates how many users are assigned to the training.

  • Due on: The deadline by which the training must be completed.

  • Completed: The number of users who have completed the training.

  • Overdue: The number of users who have not completed the training by the deadline.

  • Status: Whether the training is scheduled or in draft mode.

  • Created by: The user who created the training.

  • Last updated on: The date when the training was updated last.

A search field is available above the table to search for trainings by title.

Creating a new mandatory training

  1. Click the + Mandatory training button in the top right corner on the mandatory trainings overview page.

  2. In the dialog that appears, enter the title of the mandatory training. This is a required field.

  3. Click Create mandatory training to create the training. A notification will appear in the lower right corner with a link to the training's detail page. Moreover, the new training will appear in the table with a "New" badge.

Adding/editing mandatory training details

  1. Click on a training entry in the overview to open its detail page.

  2. Click Edit in the Details section to modify the follwoing attributes

    1. Title

    2. Description

    3. Learning path

    4. Due date

  3. After making changes, click Save to update the training details.

Assigning users to a training

  1. In the Add users to training section, click the Edit button.

  2. Choose to assign the entire organization, specific teams, or individual users.

  3. Click Save to confirm the user assignments.

Scheduling a mandatory training

Trainings are initially in draft mode and must be scheduled to be available to learners. Ensure that the description, learning path, and due date are filled out before scheduling. Then, click the Schedule training button in the top right corner.

Deleting a mandatory training

  1. Go to the overview page that displays all mandatory trainings.

  2. In the table, hover over the training to be deleted. A trash icon will appear.

  3. Click on the trash icon.

  4. Click on Confirm to delete the training.

Tracking learner progress

On the training's detail page, select the Report tab. The table displays each user's progress, with a green bar indicating completion and a grey bar for incomplete trainings. The Completed on field shows the date of completion and the Status fields indicates whether the training is completed or overdue.

Note: If a final exam is included in the training, the mandatory training will only be marked as completed once the quiz is successfully passed. Until the final quiz is passed, the status will remain due/overdue, even if all other materials within the training have been completed.

Use the search field above the table to find specific users or click on a username to access their user profile.

Email notifications

Six different emails are sent to inform learners and managers about mandatory trainings:

  • For learners:

    • When assigned to a training.

    • Reminder if the due date is within seven days.

    • Notification if the training is overdue.

    • Confirmation upon completion.

  • For managers:

    • Reminder if the due date is within seven days, including completion statistics.

    • Notification when the due date is reached, including completion statistics.
