Compliance notifications and emails

Learn when compliance notifications are sent and how settings affect reminders and summaries

Compliance assignment notifications help learners stay informed about required compliance work and help policy owners monitor open assignments. This article explains the compliance notification lifecycle across transactional emails, notification bell alerts, reminders, cancellation notices, weekly policy-owner digests, and organization-level settings.

Who can use this feature?

  • Learners can receive and open compliance notifications when they are assigned compliance requirements.

  • Policy owners and users with role Owner can work with compliance policies, assignment overviews, and organization notification settings when Compliance Center is enabled. Learn more about roles and permissions here.

  • Available on Desktop and Mobile for learner notifications. Compliance Center administration is available on Desktop.

Note: Bell notifications are created independently of email delivery. Transactional emails are delivered to users with status Active and Not yet activated. Users with status Deactivated do not receive transactional emails.


Overview

Compliance notifications are based on compliance assignment events and due dates. They can inform learners when a requirement becomes available, remind them before or after the due date, tell them when a requirement is no longer due, and summarize open assignments for policy owners.

Learners can open a requirement directly from the email button Open requirement or from the notification in edyoucated. Learn more about completing assigned requirements in Completing compliance assignments.

Notification channels

Transactional emails

Compliance emails are transactional emails. They are sent to support required platform workflows, such as informing learners about assigned compliance work or reminding them about due dates.

Notification bell alerts

Compliance bell alerts appear in the notification bell inside edyoucated. They help learners notice compliance events even when an email is not opened.

Policy-owner weekly digest

Policy owners can receive a weekly email summary for published compliance policies with open assignments. The digest is email-only and is controlled by the organization-level policy-owner weekly digest setting.

Compliance notification settings

Compliance notification settings are configured at organization level. They affect reminder timing, overdue follow-up behavior, due-today learner emails, and the policy-owner weekly digest.

Lifecycle notifications such as assignment opened, overdue, and cancellation are created from compliance assignment events. Reminder settings can change when certain reminders are sent, but they do not change the fact that assignment lifecycle events can generate notifications.

Due dates and time zones in notifications

Compliance assignment notifications show due dates together with the relevant time zone. This helps learners understand exactly when a requirement is due, especially when teams work across different locations.

The schedule and time zone configured for a compliance policy affect the due dates shown in compliance communications. Learn more about policy schedules in Creating and managing compliance policies.

Cancellation notifications

If a compliance assignment is removed or canceled, the learner can receive a Compliance assignment canceled notification. This can happen when an ongoing assignment is no longer required, for example after a policy change or when a policy is archived.

The cancellation email uses the subject Compliance assignment removed: A requirement is no longer due and tells the learner that the requirement is no longer due. It also references the previous due date with time zone and the related compliance policy.

Checking assignment status and due dates

Owners can review compliance assignment statuses and due dates in the Compliance Center. These values are used to determine which learner reminders and policy-owner summaries apply.

If a notification or email is missing

  • Check the user status. Transactional emails are sent to users with status Active and Not yet activated, but not to users with status Deactivated.

  • Check whether the compliance assignment is still open. Completed, removed, or canceled assignments no longer follow the same reminder path.

  • Check the due date and time zone used by the compliance assignment.

  • Check the organization-level Compliance notification settings, especially the due soon lead time, overdue follow-up preset, and policy-owner weekly digest setting.

  • For policy-owner digests, check that the policy is published and has open assignments.
